Cancellation Policy

In order to cover the costs of cyclists’ clothing, hire of facilities, materials and other event costs and so protect the amount available for distribution to charitable causes, the organisers will retain a portion of the entry fee to cover these costs.

Cancellations for a fully paid entry must be emailed to Tony Patten before midnight on the dates below:

  1. Before midnight on 31st December 2025– A refund of 95% will be made.
  2. Between 1st January 2026 and before midnight on 31st March 2026 – A refund of 80% will be made.
  3. Between 1st April and midnight on 24th April 2026 – A refund of 60% will be made.
  4. Cancellations received after midnight on 24th April 2026 will not receive a refund.
  5. All refunds will be repaid within 45 days of cancellation
SUBSTITUTIONS

There is no charge for the substitution of one rider for another and this will be allowed up until midnight on 24th April 2026, however, the onus is the original entrant to advise Rotary by this time of the substitute’s details and apparel size.

For substitutions made after midnight on 24th April 2026 the substitute will be issued the clothing size ordered by the original entrant.

NOTE: ONLY ROTARY 2026 BRANDED CYCLE CLOTHING TO BE WORN BY ENTRANTS FOR THE DURATION OF THE 2026 CYCLE TOUR

The route will take you through three stunning reserves in the Lowveld; Kapama, Thornybush and the Timbavati.
